Task Properties

Status

  • Backlog: Not yet scheduled

  • To do: Auto-scheduled on your calendar

  • Pending: Scheduled but paused or waiting on someone

  • Done: Task is completed

Priority

Indicates the task’s importance.

Total Time

Estimated duration of the task.
Actual work time will be recorded as Spent time, and:

Total time = Spent time + Left time

  • Spent time: Time you actually spent (tracked via time tracking or when completing a task)

  • Left time: Remaining time = Total time βˆ’ Spent time

Min Split Chunk

Minimum session block size the task can be split into.
For example, if a 2-hour task has a 60-minute chunk setting, OFFLIGHT may break it into two 60-minute sessions.
If remaining time is less than the chunk, shorter sessions may be created.

Schedule After

This sets the earliest day the task can be scheduled.
e.g., If set to April 10, scheduling will begin after that date.

Due Date

Deadline for completing the task.
If due within 48 hours, it will be highlighted on your calendar.

Timeframe

Defines when the task can be scheduled.

List

The list the task belongs to.


Creating a Task

You can create a task from:

  • The βž• button in Backlog or Timeline

  • The Add task button when hovering over a list

  • Dragging time blocks in the calendar (task will be fixed to that time)

  • Selecting a task and pressing N after moving with ↑ ↓ β†’ ← or J/K

Task properties set by where it's created:

  • From Backlog β†’ creates a Backlog task

  • From To do lane β†’ creates a To do task

  • From specific list β†’ assigns that list

  • From Fast track lane β†’ sets as Fast track

  • Use the Global Command Bar (CMD + Shift + Space) to create tasks without opening the app (desktop only πŸ’»)

  • You can change this shortcut under Settings > Shortcuts

  • Type @ in the task title to use Command Search for setting properties quickly


Completing a Task

  • Click the checkbox to mark a task as done

  • Press CMD + Z to undo completion

  • Press E while task is selected to complete

  • Completed tasks appear in the Done lane


Task Notes

  • Click a task to open the popover

  • Add notes under the Description field

  • Changes are saved automatically

  • Supports Markdown formatting
